How to set up WooCommerce to QuickBooks Online

Here is the whole setup for connecting WooCommerce to QuickBooks Online, so you know what to have ready before you start. Most of it takes a few minutes in QuickBooks Online and in WooCommerce.

1. Create an Intuit developer app

At the Intuit developer site create an app with the accounting scope and connect it to your company. The plugin stores the connection and refreshes it automatically. Test in a sandbox company first, because sandbox and live use different keys.

2. Find your WooCommerce order details

Decide which order status sends the data: Processing (payment received) or Completed (order fulfilled). Ora maps billing first name, last name, email, phone and company from the order.

3. Match customers, items and tax

QuickBooks needs a customer, one or more items and the right tax code. Customer names must be unique, and each item you sell must already exist in QuickBooks. Tell Ora whether to create an invoice or a sales receipt.

4. Describe it to Ora

Paste your own version of the example request on this page, or start from one of the examples, and say which field goes where. Ora replies with a plan and a price, and nothing is built until you approve it.

5. Test on the practice site

Place a test order on the practice site using Cash on Delivery or a 100 percent coupon, move it to your chosen status, then check QuickBooks Online. Open Sales in QuickBooks and look for the new invoice or sales receipt. Check the customer, items and tax, and that the total matches the order.

Common snags:

An order line with no matching QuickBooks item stops the document being created, so map items first.
Customer display names must be unique, so a repeat customer is matched by email first.
The connection needs renewing if it is left unused for a long time, and the plugin warns you when it does.

Is there a free WooCommerce to QuickBooks Online plugin?

Free ones may exist. Build your own when you want exact behavior and nothing extra.

Is QuickBooks setup different from an API key?

Yes. QuickBooks uses OAuth 2 through an app you register with Intuit. Production keys need Intuit's app assessment, and tokens must be refreshed. Ora explains the steps and builds the refresh in.

Do I need WooCommerce and a QuickBooks Online account?

Yes. This plugin runs on your WooCommerce store and sends data to your QuickBooks Online account. You don't need to buy a Zapier plan.

Can I get a refund?

The trial fee is refunded automatically if a build fails. A purchased plugin can be refunded within 14 days if it doesn't do what the approved plan said and Ora can't fix it, as long as it hasn't been downloaded or installed.
