How to set up Gravity Forms to Zoho CRM

Here is the whole setup for connecting Gravity Forms to Zoho CRM, so you know what to have ready before you start. Most of it takes a few minutes in Zoho CRM and in Gravity Forms.

1. Create API access in Zoho
In the Zoho API Console create a Self Client with the ZohoCRM.modules.ALL scope and generate a grant. Ora exchanges it for a refresh token. Use the domain your account lives on (.com, .eu, .in, .com.au or .jp), because the wrong region fails.
2. Find your Gravity Forms fields
Gravity Forms identifies fields by number: field 1, field 2 and so on. Composite fields such as Name use decimals, so first name is usually 1.3 and last name 1.6. Ora needs these numbers to map correctly.
3. Match fields by API name
Zoho matches fields by API name, not label. A Lead needs Last_Name, and standard fields are First_Name, Email, Phone and Company. Custom fields are listed under Setup, Modules and Fields, with their API names.
4. Describe it to Ora

5. Test on the practice site
Submit a test entry and look for it under Forms, Entries in Gravity Forms. Open Leads in Zoho CRM and search for the test email. Check the lead source and owner, and any workflow rule that starts.
